Methodist Mission Southern have been Exess users since May 2010. Exess is now a critical part of our organisation’s client information and case management toolset and has over the last two years, become invaluable in evidencing and informing our practice using their PCOMS module. The Exess team are friendly, knowledgeable, very approachable, and have gone the extra mile to ensure that our requirements are met.

Over the past 5 years, the reporting requirements for government contracts has become increasingly complex for NGO’s like ourselves. We needed a new client management system that would be able to meet these requirements whilst being affordable for agencies where funds are limited. Exess has met those needs – it provides flexible reporting that can be developed in house or through Exess’ excellent customer service, it is cost efficient, comprehensive and has on-going development that continues to make the product better and easier to use at each iteration. I have no hesitation in recommending it.
We looked at implementing Exess and it all seemed a bit daunting – however Michelle talked us through the logistics and came to Westport for a team training (twice in fact – that’s how daunting it was!). Eventually our team embraced Exess and the Exess team walked with us through the implementation journey and we are now getting the benefit of having data at our fingertips. Thanks to the Exess database system, our Organisation now has a more robust and transparent reporting tool which also means less time spent on monitoring and recording and more time hands on with clients. Reporting to Funders is more efficient as Contract Outcomes and other information can be captured on Exess to suit our requirements. This is supported by Funders expectations being met, continuation of Contracts and offering of new Contracts.
The support team is quick and efficient and the ability of Exess staff to respond to our personal organisational needs is to be commended.
Michelle and Tina have been awesome to work with and assist Genesis Youth Trust to integrate Exess into our daily business. They understand our needs and are always keen to solve any issues and train our staff. Nothing is ever a problem. Our team were extremely happy to learn and use Exess. It’s user friendly , built for youth and social services by people who understand the business, and always evolving and improving. We can now load in and collect our contract deliverables and measure effectiveness efficiently and accurately. This will ensure we keep our funders happy and keep a competitive advantage. Ngati Kahu Social and Health Services have been using the Exess Database since July 2012. The capability of Exess seems endless. The developers are continually improving its functions and we area notified of these as soon as they go live. The database itself allows me to monitor the hours of work that the whanau receive from us, the distances travelled as well as the number of services they access through Ngati Kahu . I am also able to upload all relevant documentation including referrals, consent forms etc thereby reducing the need for paper files. It sits in the cloud which covers any risk to lost papers and also allows the kaimahi to have all information at their fingertips.
The PRIMHD function reduces duplication of entries and all I need to do once I have checked the information is to push the send button and it goes directly to the Ministry. Outcomes is the next function that we will be looking at adding to meet our specific needs.
Prior to Birthright Hawke’s Bay Child & Family Care implementing the use of Exess, we relied on hard-copy files. This was cumbersome, inefficient and meant monitoring of professional standards and practices was challenging. It also meant that the accurate and timely reporting of outcomes was a struggle.
Our relationship with Exess is excellent which has enabled us to have a great deal of input into development. Exess continues to involve users in this on-going development process – communication and back-up support is excellent.
Utilising Exess now means our Organisation has outstanding results from a range of perspectives, including, client recording and planning, reporting statistics and client outcomes, managing and monitoring professional ‘best practice’ and supporting staff safety.
